Projects and time
Track time against projects with a timer or a weekly timesheet, and turn unbilled work into an invoice.
Projects and time tracking are on Basic, Pro and Ultra. Budgets and profitability are on Pro and Ultra.
Set up a project
Go to Work → Projects and press New project. Give it a name, choose how it is billed (By the hour, Fixed fee or Non-billable) and, unless it is internal work, the client. A fixed-fee project takes the agreed fee, and on Pro and Ultra you can set a budget in hours.
Inside a project, Add task breaks the work down. A task can be marked not billable, so its time is tracked but never charged.
Track your time
- Timer. On an active project, press Start timer. The running timer shows in the top bar on every page, and it is kept on the server, so it survives a reload and shows on your other devices. Press Stop timer to save the time. Starting a new timer stops and saves the one already running.
- Timesheet. Work → Time is your week as a grid: a row per project and task, a column per day. Press Add row, then type the hours into the cells. Arrow keys move between cells, and each row and day has a total.
Rates
A task can carry its own hourly rate, which wins over every other rate. That includes zero, which is how you say "this one is on us". Leave it empty and the hour is priced from the rates below it, usually the person's own rate. The owner sets each person's rate, and what their hour costs, under Settings → Members, in Rates and capacity.
Invoice the work
When a project has unbilled work, its page shows Create invoice. The dialog previews the lines before anything is saved; under Group lines, choose by task, by person or by day. Hours with no rate are called out rather than left off quietly. It creates a draft invoice with the time and any billable expenses on the project, and marks that time as invoiced so it cannot be billed twice. Delete the draft and the time is unbilled again.
